HOW TO CHOOSE THE PERFECT WINE FOR YOUR EVENT

Choosing wine for an event can feel overwhelming. With thousands of options on the market, many hosts default to familiar brands or whatever they recognize from the grocery store shelf. But the right wine selection can elevate an event from ordinary to truly memorable.
As the founder of Somm Space, an event and wine education venue in Austin, I help clients choose wines for everything from private tastings to large corporate dinners. With about two decades of sommelier experience, I’ve noticed that the best wine selections follow a few simple principles.
Here’s how to choose the perfect wines for your event:
1. Start With Three Key Questions
Whenever I help someone plan an event, I always begin with three questions:
1. What is your budget? Wine can scale dramatically in price. Knowing the budget helps determine whether we’re selecting boutique everyday wines or something more collectible. Don’t worry, I can find great wines at virtually every budget!
2. What is the format of the event?There are so many types of events! Are your guests walking around with full glasses, or do you want a sit-down, luxurious tasting experience?
3. What is the theme of the event? In my opinion, a cohesive theme makes an event far more memorable than offering a random assortment of wines. A theme could be wines of France, coastal Mediterranean whites, or even chillable reds for summer.
When wines tell a story together, guests engage with them more deeply.
2. Avoid the “Grocery Store Trap”
One of the most common mistakes I see is choosing wines that are extremely mainstream.
If you can find a wine everywhere, there’s a good chance it’s mass-produced rather than crafted by a small producer focused on quality. Boutique producers often offer more character, better farming practices, and wines that spark conversation.
Your event is an opportunity to introduce guests to something special, not just something familiar.
3. Don’t Forget Non-Alcoholic Guests
The non-alcoholic movement has grown tremendously in recent years, and it’s important to make sure everyone feels included.
A thoughtful NA option—whether that’s a high-quality alcohol-free sparkling wine or a crafted beverage—shows guests that their experience matters too. When hosts ignore this, non-drinkers often feel like an afterthought. My favorite brand and style is French Bloom sparkling wines, but there are so many!
4. Think About Seasonality
People love red wine, but the weather matters.
In the Texas heat, guests are usually happier with crisp whites or sparkling wines rather than heavy reds. Adjusting wine styles to the season keeps the experience refreshing and balanced.
For example:
Summer events often shine with bright whites, sparkling wines, and chillable reds
Cooler seasons allow room for richer reds and fuller-bodied wines (yes, even full-bodied whites!)
Your wine should match the environment your guests are in.
5. Choose Wines That Guests Will Love
Over the years, I’ve found a few styles that consistently work well for events:
Crisp White: Albariño | Fresh, citrusy, and incredibly food-friendly, Albariño is bright and refreshing without being too acidic or too simple. Other options? Grüner Veltliner from Austria or Muscadet from the Loire Valley.
Light Red: Gamay | Gamay is approachable, fruit-forward, and easy to drink—even for people who normally say they don’t like red wine. Try Gamay from the Beaujolais region of France, or choose other light reds like Etna Rosso from Sicily, Trousseau from France, or Grenache from Spain and beyond.
Full-Bodied Red: Australian Shiraz or Margaret River Cabernet | Tired of Californian reds? Try Shiraz or Cab from Australia! When guests want something bold, these wines deliver richness and structure. The key is choosing a premium producer rather than bulk brands. Other ideas include Carmenere from Chile or red blends from Lebanon.
6. Know How Much Wine to Buy
A practical question I get all the time is: How much wine do we actually need?
Here are the simple rules I use:
Wine Tastings
About 10 tasting pours per bottle
Full-Service Events
Expect 2–3 glasses per person
With roughly 5 glasses per bottle
These guidelines help ensure you have enough wine without overbuying.
7. Make the Experience Immersive
The most memorable events go beyond just pouring wine…They create an experience.
One of my favorite examples was a corporate wine dinner we host annually for a client from the Royal Bank of Canada. Instead of a typical French wine tasting, we created a French-themed “Dîner en Blanc” experience and asked guests to arrive dressed in white.
Suddenly the evening became more than just a wine dinner. Guests felt like they were participating in a cultural tradition. The French wines felt more meaningful because the entire atmosphere supported the story.
When guests feel part of the experience, the wines come alive.
Final Thoughts
The perfect wine for your event isn’t necessarily the most expensive bottle or the most famous label.
It’s the wine that:
fits the theme of the evening
complements the season
matches your guests’ preferences
and creates a memorable experience
When done thoughtfully, wine becomes more than a beverage...It becomes a conversation starter, a learning moment, and part of the story your guests will remember long after the event ends.
